General Position Summary

The Vice President, Conferences & Events reports to the SVP, Events and will lead the association's activities related to the education, logistics, attendee experience, and onsite operations aspects of the Association's various events. These events include the ACP Annual Conference (CLEANPOWER) with over 9,000 attendees and 400+ exhibitors, and 8+ other conferences ranging from 200- 2500 attendees. This role will be instrumental in leading the overall look, feel, impact and execution of our events to ensure consistency in branding and experience from both a logistics and programming perspective. Further, as ACP evaluates its conference offerings, this position will play a vital role in evolving existing events, growing new ones, and working closely with the head of Events Business Development.

This position will be responsible for managing a team of direct reports and external resources. The VP will build a center of excellence of event resources, services, programming, and technologies that support ACP in varying stages of growth. This position will work closely with the executive leadership team and regularly strategize with other staff on the execution of effective external and internal even. Excellent communication skills, professionalism, and organizational skills are necessary attributes for this position.

  • Build, oversee and lead the dedicated and high performing events team and relevant consultants through implementation of priorities, professional development, and budget management designed to advance strategic priorities.
  • Mentor and develop staff using a supportive and collaborative approach on a consistent basis.
  • Establish and monitor staff performance and development goals, assign accountabilities, set objectives, establish priorities, and conduct annual performance appraisals.
  • Represent the Association at industry events, hospitality and exhibition industry events, and various client advisory boards for marketing purposes, professional development, and idea identification.
  • Oversee the event portfolio including determination of topics, locations, and on-site planning and implementation.
  • Lead the Education and Training team to enhance the Association's product and service delivery to provide meaningful and valuable experiences for members and other customers.
  • Strategic development of new services, products, and activities to improve the member and attendee experience at ACP events.
  • Conduct regular assessment and review of all consultants and vendors to determine effectiveness and manage costs. Develop creative solutions to manage consultants, including forging strategic partnerships with key vendors for multi-year contracts.
  • Manage the staff training process in preparation for CLEANPOWER.
  • Create budgets across both event logistics and programming teams to ensure revenue to expense ratio is in line with annual budget forecasts. Review and audit all final budgets with team for accuracy and timely closing with finance.

Education & Programming

  • Work with the Sr. Director, Industry Education & Training on developing compelling and relevant content for all ACP events, including themes to drive content creation and a marketing narrative.
  • Provide guidance on program development to ensure identification of speakers who are diverse, distinguished, relevant, and compelling keynotes to create a buzz-worthy, impactful, and memorable event experience.
  • Coordinate with the Senior Director and other education staff on all aspects of programs delivered including general sessions, paid keynote speakers and on-site experience.
  • Ensure we have an appropriate and effective mix of keynotes, fireside chats, and panel sessions across all our events to maintain and improve program interest and engagement.
  • Coordinate with the Senior Director and other education staff to diversify our educational offerings and develop a new revenue streams.

Logistics, Member Experience & Onsite Operations

  • Manage all ACP event site selection process, including conducting site visits of prospective locations, and negotiating favorable financial and contractual terms and incentives with cities and venues. Present recommendations to the Executive Team for future event site decisions.
  • Work with the Senior Director, Conference Planning & Event Logistics and the Education and Conference Manager on all similar logistical support for all other conferences and events.
  • Manage all the Association event logistical contracts including the convention center and hotel package (12+ hotels per year).
  • Direct the relocation process if changing cities / venues becomes necessary including termination letters, coordinating with the Association's legal counsel, tracking the Association's financial liability as well as site selection, negotiating and contracting at the new city / venue.
  • Partner with ACP's Marketing team to develop content for marketing and promotional materials including brochures, blast emails, registration campaigns, webpages, and expo guides / final programs.
  • Work with the Registration Director to oversee the registration process for all the Association events including pricing and option decisions, set-up and implementation of registration-related activities, registration tracking and projections.
  • Work with the Business Development team to create and fulfill sponsorship opportunities to drive more revenue and ensure all benefits are delivered
  • Develop and share the CLEANPOWER Crisis Management & Communication plan with internal and external stakeholders.
  • In partnership with the Senior Director, support the planning and implementation process for new event partners for cohosting or colocation events.

Education, Experience & Skills

  • A bachelor's degree in relevant field and 15+ years of progressive experience across meeting planning and education in relevant size events and industries.
  • 5+ years of demonstrated leadership ability to influence, develop and lead large and varied groups of people including direct reports and both internal and external stakeholders.
  • Excellent communication and public speaking skills. A high level of interpersonal skills is important to interact effectively with a wide range of people including other ACP staff, ACP members, federal and state agency staff, and other stakeholders.
  • Strong critical thinking capability, with the ability to communicate complex topics and information in an understandable way to varied audiences.
  • Strong project management skills with demonstrated ability to multitask and prioritize projects, be detailed oriented, meet and manage deadlines and follow through diligently.
  • Demonstrated skill communicating with parties with diverse interests, including running productive meetings, synthesizing inputs, and working through disputes to generate a plan of action with broad buy-in.
  • Capacity to manage a direct team and work collaboratively as a team player across departments, while also identifying and resolving problems independently.
  • Sound judgment and instincts; good analytical, conceptual, and strategic thinking skills; and the ability to adapt and respond quickly to change.
  • Must be proficient in using Microsoft Office Software including Excel, Word, Outlook, and PowerPoint
  • Knowledge of Protech AMS and CMS software highly desired, or similar experience in other systems.
  • Flexibility and ability to work with tact in a variety of situations with a range of people.
  • Ability to travel up to 40%.

Job Conditions

We are a fast-paced, high-energy organization with a very ambitious agenda and a staff that is highly motivated. This position may experience high-level work demands and independent decision-making under tight timelines. Occasional travel outside of the Washington, DC area for meetings or events may be required. Applicants must be currently authorized to work in the United States on a full-time basis. ACP will not sponsor applicants for work visas.

We reasonably believe that the base salary range for this position is $200,000- 250,000. ACP, a wide range of factors are considered when making compensation decisions including and not limited to skill set, experience, training, education, knowledge, and other business and organizational needs.
